Information we collect
When you contact us
If you email us, or use the contact form on our website, we receive your name, email address, any company name you give us, and the content of your message, along with anything else you choose to include. The contact form does not send or store anything itself. It prepares an email in your own email app, which you then choose to send to us.
When you work with us
If you become a client, contributor, hire customer or supplier, we may also collect:
- contact details such as your postal address and telephone number;
- billing and payment details, including bank details where we pay you;
- for equipment hire, information needed to verify your identity and business, delivery and collection details, and evidence of insurance;
- for footage acquisition, information about the ownership and origin of footage, releases, permits and how you wish to be credited;
- records of our correspondence, contracts and transactions with you.
When you visit our website
Our website does not use analytics, advertising trackers or cookies. Like most websites, the server that hosts our site may automatically record technical information such as your IP address, browser type, the pages you request and the time of your visit. These logs are used to keep the website secure and working properly.
How we use your information and our legal basis
We only use your personal information where the law allows us to. We use it to:
- respond to your enquiry and take steps you ask for before entering into a contract, on the basis of our legitimate interests in running our business, or to take steps at your request before entering into a contract;
- provide our services, pay or invoice you, and manage our agreement with you, because this is necessary to perform our contract with you;
- keep accounting and tax records and meet other legal and regulatory requirements, because we have a legal obligation to do so;
- protect our equipment, prevent fraud, and establish, exercise or defend legal claims, on the basis of our legitimate interests;
- keep the website secure and running properly, on the basis of our legitimate interests;
- keep you informed about our work where you have asked us to, or where you are an existing business contact and have not opted out. You can opt out at any time by replying to any message or emailing us.
Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms, and we are satisfied that they are not.
Who we share it with
We do not sell your personal information. We share it only where necessary, with:
- service providers who support our business, such as our email, IT, file-sharing, website hosting and accounting providers;
- our bank and payment providers, to make and receive payments;
- couriers, freight forwarders and insurers, where needed to deliver, collect or insure hired equipment;
- broadcasters, co-producers and other licensees, where needed to deliver a production or footage licence, for example to credit a contributor;
- our professional advisers, including lawyers and accountants;
- law enforcement, regulators and other authorities, where we are required to by law;
- a buyer or successor, if our business or its assets are sold or transferred.
Our service providers may only use your information on our instructions and must keep it secure.
International transfers
Our work is international, and some of the people and service providers we share information with are based outside the United Kingdom. Where we transfer personal information outside the UK, we make sure it is protected, either because the destination is covered by UK adequacy regulations, or by using the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or another safeguard permitted by law.
How long we keep it
- Enquiries that do not lead to us working together are kept for up to two years from our last contact, then deleted.
- Contracts, invoices and related records are kept for six years after the end of the financial year in which our relationship ends, to meet accounting and tax requirements and to deal with any legal claims.
- Ownership and release records for footage we acquire or license are kept for as long as we hold or license that footage, and for six years afterwards.
Keeping it secure
We use appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access, and we limit access to people who need it to do their work. If we become aware of a personal data breach that is likely to put your rights at risk, we will notify you and the Information Commissioner's Office where we are required to do so.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information in certain circumstances;
